Zetafax Integration

Zetafax is heavy duty faxing software (www.equisys.com) which enables workstations to send and receive faxes without using paper.

Integration with Zetafax allows SMART to fax any printable item using a Zetafax fax server, without installation of any Zetafax components at the workstation.

This section describes the configuration and operation of Zetafax with Smart. Before proceeding you must have installed the Zetafax server software.

Overview

Smart reports are produced as Windows metafiles which are displayed on screen as a report preview and/or sent to the printer. The Smart Zetafax interface

- converts these metafiles to a fax-compatible TIFF format of the appropriate size.
- moves them to the ZetaFax server
- creates a Zetafax SUBMIT file which instructs Zetafax to send the files
- monitors progress and reports any errors.

Installation

A standard Smart installation or upgrade contains all the components necessary for Zetafax integration.

Configuration

General Zetafax setup is performed at \Maintenance \Smart Setup \General Configuration, System tab. The entries here are common to all workstations. Please note that this requires drive mappings to be the same for all workstations using the Zetafax server. Your network must be configured so that workstations using Zetafax can reach these directories.

  • Submit Directory is the directory where Zetafax expects to find submission files (text files with a .sub suffix). These files tell Zetafax what to send and where to send it.
  • Graphics Directory is the directory where Zetafax expects to find graphics files. These are files which are to be attached to a fax.
  • Log Directory is the directory where Zetafax stores log files which record activities. These files have names of the form Z-yymmdd.LOG, e.g. Z-020824.LOG
  • Cover Page is the name of a file in the Graphics Directory which is to be used as a cover page when faxing.
  • Timeout (secs) is the number of seconds to elapse after Smart submits a fax to Zetafax without any Zetafax activity being detected before an error is considered to have occurred. This should only come into play if the Zetafax server is not running.  If the Zetafax server is running and responding to Smart, no error will be reported to the Smart user until an error message has been generated by Zetafax. Your Zetafax settings will determine how quickly and when an error message will be generated.

Workstation-specific setup is performed at \File \Workstation Setup, Administrator settings tab. Administrator access is required to change these settings.

  • Enable Zetafax makes Zetafax available from this workstation, and makes 'Fax Direct' available as an option when printing SMART reports.
  • Display Progress displays progress information while faxing is in progress, and provides access to information about faxes sent by the operator in the last two days. Regardless of this setting, should an error occur then a message will be displayed (this could be several minutes after the fax was first submitted).
  • From determines the name shown in the From: field on the fax coversheet.
    • Server Default uses the default setting in the Zetafax server.
    • Operator Name uses the name of the operator currently logged into Smart.
    • The next selection enables you to enter a name which will be used for all faxes sent from this workstation.
  • Organisation determines the organisation shown in the Organisation: field on the fax coversheet. Leave this field blank to use the value (if any) set up in the Zetafax server.

Operation

If Zetafax is enabled for the workstation, 'Fax Direct' will appear as an option when selecting a report destination:

Selecting this option will submit the report to Zetafax for transmission.

In most cases the next window to appear will give you an option to specify or select a fax number before proceeding. If a fax number is not specified before printing the report, the following window will appear:

Only the fax number is required - the other entries are optional.

If you press the Cancel button at this point, faxing is cancelled.

Error Reporting

 If the fax transmission fails, a window will appear with further details. Depending on the nature of the error and your system settings (see above) an error message may take some minutes to appear.

Progress Window

If Display Progress is selected for this workstation (see above) a progress window will appear whenever you submit a Zetafax job. You can also open this window by selecting \File \Zetafax Status from the Main Menu.

This window also shows fax transmissions for the current day and the previous 24 hours.
