Operators

Operators are the people who operate Smart. Operator configuration determines the level of access given to the operator.

Operator Logging enables to you to track operator activity in key areas. Operator codes are shown on some reports. For these reasons you should ensure that each operator logs in as a separate user.

Adding/updating operators

Select \Maintenance \Operator Access \Operators to view a list of Operators and optionally add, change or delete Operators. You probably require Administrator access to access this area.

Operators permitted access to this area who don't have Administrator access may not view or change details of other operators.

When your Smart system is first installed, an operator with the name of Administrator and password of Admin is automatically created. This operator may be safely modified or deleted once you have set up other operators. If you accidentally configure your system so that there are no operators with Administrator access, Skorpion can provide a temporary password which will give you administrator access (you may have to arrange proof of identity).

'Operators' showing an operator code of *** in the list of operators are Operator Types (see below).

The following window is displayed when you right click in the list of Operators and choose to Add, Change, or Delete Operators.

 

Fields in the Operator Details window
Code The code is used for rapid login and appears on some windows and reports.
Operator Type

If this box is checked, this entry is considered to be an Operator Type and not a human operator.  Operator Types are used to apply the same settings to several operators, by selecting the Operator Type in the Access Level setting (see below).

If an operator is linked to an Operator Type

  • If there are operator over-rides (see below) for current operator, they are applied.
  • If there are no operator over-rides for the current operator but there are over-rides for the Operator Type, the Operator Type over-rides are applied.
  • If there are no over-rides for the Operator or Operator Type, the settings for the Operator Type Access Level are applied (see below).
Name

The Name is displayed at login time and is displayed at the top of the main Smart window.

Password

The password is not displayed. After entering a password you must enter it a second time. If the second entry doesn't match the first you muse re-enter the password.

Access Level

The Access Level list includes the standard access levels of Operator, Supervisor, Accounts, and Administrator (see below) and any Operator Types (see above).

If you select an Operator Level as an Access Level you will be prevented from changing some of the entries below.

Profile

You may select to use an Internal Profile (the settings in the box immediately below) or choose a Remote Login Profile for more detailed access control. Generally speaking, Operator Configuration settings (below) determine which windows the operator can view while Profile settings determine what information can be seen in them.

Division

(The term Division may be changed to another term depending on your system configuration.) If a Division is selected here, the operator is only permitted to view information linked to that Division. This setting is mainly of relevance to accounts operators.

Control Room

(The term Control Room may be changed to another term depending on your system configuration.) If a Control Room is selected here, the operator is only permitted to view jobs linked to that Control Room. This setting is mainly of relevance to despatch operators.

Operators of this type

This part of the window is only displayed if the Operator Type box is checked. To assign an operator to this operator type, right click and choose Add Operator to Type to select from a list of operators (operators already linked to an Operator Type do not appear in the pick list).

Right click and select Remove Operator from Type to remove the highlighted operator from this Operator Type. The operator's details will not be deleted and their settings will revert to any selected before (you should check the operator's access level to make sure it is now correct).

 

Operator Configuration

To reach the Operator Configuration window, select \Maintenance \Operator Access \ Operator Configuration from the Main Menu.

Access to individual data entry windows, and many other system configuration items can be configured by access level and/or for individual operators.

By default, these 4 access levels apply:

Administrator

Unrestricted access to system, including deletion of items (except where items are linked to other items). An operator given Administrator access level cannot be limited in any way, regardless of settings in the window below.

Accounts

As for Administrator, except unable to delete most items, and does not have access to system configuration.

Supervisor

Does not have access to price-related information or customer or contractor accounts. Can change details on a job after it is completed but not before it is invoiced.

Operator

As for supervisor, but (optionally) can't change a job once it is complete.

Settings for each access level may be modified and/or over-ridden for individual operators, in the Operator Configuration window. 

To reach the Operator Configuration window, select \Maintenance \Smart Setup \Operator Configuration from the Main Menu. (You must have Administrator access to reach this window.) It will look like this:

Entries are sorted by section and then by setting. The two main sections (first column) are System Access, which determines access to Smart windows, and Pricing Access, which determines access to pricing information in various windows.

The setting in the Default column applies unless it is over-ridden by a setting in the Operator, Supervisor, or Accounts column, or by the setting for a specific user or user type (see Setting Precedence , below). To change a setting, double click in the column.

To see the settings for a particular operator type, select the operator type at lower right.

If a setting exists for the current operator, that setting is used. Otherwise, the setting for the operator's access level is used (if the operator has been assigned to an Operator Type, then the Operator Type's access level is used).

You can view settings for all operators simultaneously and/or print them by exporting the settings to a spreadsheet program (e.g. Microsoft Excel). Press the Export Settings button to generate a file which you can import into your spreadsheet program.

Some of the settings used are

Operator may not add, change, view, or delete items.

If you can't see the setting you want in the list, especially soon after a Smart upgrade, open and close the window concerned.

Some of the settings are explained below:

Section Setting Details
 Jobs List Allow Job Hot Keys (F6/F7/F8)

 If Yes, these hot keys are available in the dispatch window (list of jobs). They have the same function as in the Job Details window, i.e.
F6: Despatch highlighted job (if not already despatched). A service provider must have been allocated to the job. If the service provider uses automated despatch (e.g. SmartNet or mobile data) the job is automatically transmitted to the service provider.
F7: Record current time as on site time for the highlighted job (unless an onsite time has already been entered).
F8: Record current time as off site time for the highlighted job (unless an offsite time has already been entered). Depending on your system configuration, other entries may be required before the job can be considered completed.

Job Details Allow to change customer

Determines whether the operator can change the customer who is to be billed for a job. If No, the customer linked to the Location is billed.

Job Details Approve Job (Ops)

Determines whether the operator can modify the Checked (Ops) checkbox on the Job Details window. 

Job Details Approve Job (Accounts)

Determines whether the operator can modify the Checked (By Accounts) checkbox on the Job Details window, Accounts tab.

Job Details Auto field selection

When you are entering a new job and pressing the Tab key to move around, Smart attempts to take you to the appropriate next field based on the information you have entered so far. To prevent this and revert to normal Windows behaviour, change this setting to No.

Job Details Autoshow Service Code List

By default, Smart will try to deduce the correct service code for a job. If one can't be worked out it displays a pick list for the operator to choose. Changing this setting to No prevents this pick list from being displayed, allowing the operator to key in a service code.

Job Details Change Job Location

Determines whether the operator can select a different location in the Job Details window.

If this setting is set to No, you must set Job Details, Prompt for Location (below) to Yes so that the operator is prompted to select the location before the Job Details window is displayed.

 Jobs List Change view to latest job  

 If Yes, when a new job is added the job list view changes to show only jobs with the same service type.
If No, operators may 'lose' jobs because they are not displayed after entry if the current view does not display jobs of that service type.

Job Details May Despatch Job

If No, the operator may enter and update job details, but not despatch the job.

 Job Details Prompt for Location

 If Yes, when creating a new job display a pick list of locations before displaying the Job Details window.

Job Details See existing jobs at creation

If Yes, when creating a new job any other jobs in progress for the same location are listed. The operator may choose to update an existing job instead of proceeding to add a new job.

If This Service Type, only jobs of the same service type as the new job are displayed (requires that the service type be selected before the Job Details window is opened).

Job Details Select Provider Automatically

Change this setting to No to prevent Smart from automatically selecting a Service Provider.

 Jobs List Select Service Type on Add

If Yes, when the operator is adding a new job they will be asked to select a service type before the Job Details window is displayed.
If No, the service type for the new job will default to the service type (if any) being shown in the list of jobs.
In either case, the operator may select a different service type once the Job Details window is displayed.

Job Details View Provider Details

If set to NO, conceals service provider details in the Job Details and Location Details windows and prevents access to information about Contractors or Service providers.

By default, when you allow a user with Operator or Supervisor level access to a main menu, they have access to all selections on the memu and submenus. Be sure to prevent access to unwanted selections.

It is recommended that you test user access settings by logging in as that user and trying their access limits.

 Main Menu Access Accounts

Allows or prevents user access to the Accounts Main Menu selection.

 Main Menu Access Accounts Export/Import

Allows or prevents user access to the Accounts/Export\Import Main Menu selection. Users must have access to the Accounts menu (see above) for access to this menu item.

 Main Menu Access Accounts Reports

Allows or prevents user access to the Accounts\Reports Main Menu selection. Users must have access to the Accounts menu (see above) for access to this menu item. 

 Main Menu Access Change Database

Allows or prevents user access to the File\Change Database Main Menu selection.

 Main Menu Access Exit

Allows or prevents user access to the File\Exit Main Menu selection. If access is prevented, the user will not be able to close Smart down except by restarting their PC.

 Main Menu Access Maintenance

Allows or prevents user access to the Maintenance Main Menu selection. Generally speaking, only those with Administrator or Accounts user levels should require access to this menu pick.

 Main Menu Access Operations

Allows or prevents user access to the Operations Main Menu selection.

 Main Menu Access Operations Printing

Allows or prevents user access to the Operations/Printing Main Menu selection. Users must have access to the Operations menu to have access to this menu pick.

 Main Menu Access Print Setup

 Now replaced by 'Workstation Setup' (see below)

 Main Menu Access Reports (listings)

Allows or prevents user access to the Reports/Listings Main Menu selection.

 Main Menu Access Reports (statistics)

Allows or prevents user access to the Reports/Operational Statistics Main Menu selection.

 Main Menu Access Smart Configuration

Allows or prevents user access to the Maintenance\Smart Setup\General Configuration menu pick. Normally, only Administrators should have access to this area. For access to this menu selection, users must also be permitted access to the Maintenance menu pick.

 Main Menu Access Systems

Allows or prevents user access to the Maintenance\Systems menu pick. For access to this menu selection, users must also be permitted access to the Maintenance menu pick.

 Main Menu Access Workstation Setup

Allows or prevents user access to the File\Workstation Setup or Maintenance\Smart Setup\Workstation Configuration menu picks.
Regardless of this setting, administrators always have access, and only administrators

 Other Access Add Zone in Job Details

Determines whether an operator can add a Zone to a location in the Job Details window.
If No, the operator is required to select from the list of existing zones.
If Yes and the operator adds a zone, this zone will be linked to the job and will appear on the location for future reference.


Pricing Access
settings determine whether operators can see or edit dollar amounts in the specified window.  Possible settings are
Hide - dollar amounts are not displayed, including on printed reports.
View - dollar amounts are displayed but cannot be edited.
Edit - dollar amounts are displayed and can be edited.

  • Standard: the normal Location Details window which is displayed elsewhere in Smart.
  • Tech: Shows additional alarm details on the Alarm Information tab.
  • Both: Allows the operator to select which window to see.

This setting has no effect unless ADSW Integration is enabled on your Smart system.


System Access
settings determine whether operators have access to the specified area.
If the workstation is set as 'View Only' (see Workstation Configuration) this will override the settings below (except No Access).
Depending on context, other limitations may apply, e.g. a job which has been invoiced cannot be changed by any operator.

Possible settings are
Add/Chng/Del - the operator has unlimited access. Deletion will be prevented if the item being deleted is linked to other items.
Add/Chng - the operator has unlimited access except for deletion. 
Change - the operator may view and change items but not add or delete them.
View Only - the operator may view items but not add, change, or delete them.
No Access - the operator may not access the window or update the item in any way.

 System Access Alarm Company Details

 Alarm Company Details window. The term Alarm Company may be replaced by another term in your system. 

 System Access Alarm Status Codes

Alarm Status Code Details window. Alarm status codes are used for fast data entry in the Job Details window, in the field at the bottom of the Location Details tab.

 System Access Bank Account Details

Bank Account Details window. (System Configuration window, Banking tab) Sets up bank accounts which will receive amounts paid in.

 System Access Contractor Details

Contractor Details window

 System Access Contractor Payment Details

The list showing details of payments to Contractors, accessible from the Contractors list.

 System Access Control Room Details

Controlroom Details window. ('Controlrooms' may have another name depending on your system setup.)
Generally speaking, only Administrators should be permitted to add, update, or remove Control Rooms as changes here can have a significant impact on Smart's operation. It is recommended they consult Smart support before doing so.

 System Access Credit Details

Details of credits issued to customers.

 System Access Customer Contacts

Customer Contact Details window, accessible from the Customer Details window. Not accessible unless the operator has access to the Customer Details window (below).

 System Access Customer Notes

Customer Notes window, accessible from the Customer Details window. Not accessible unless the operator has access to the Customer Details window (above). 

 System Access Customer Payment Details

Details of payments made by the customer.

 System Access Customer Rate Details

Details of the customer's rate for a specified service. Accessible from the Customer Details and Job Details windows.

 System Access Division Details

Division Details window. ('Divisions' may have another name depending on your system setup.)
Generally speaking, only Administrators should be permitted to add, update, or remove Divisions as changes here can have a significant impact on Smart's operation. It is recommended they consult Smart support before doing so.

 System Access Driver Details

Driver Details window. 'Drivers' may be referred to as 'Persons' or 'Officers' depending on context. They do not have any financial information but simply serve as a source of names and phone numbers. 

 System Access Holidays

 Public Holiday Details window. Public holiday settings determine scheduling of services (e.g. patrols) and calculation of charges and payments.

 System Access Hourly Job Details

 The window which appears when entering labour details in the Job Details window.

 System Access Hourly Rates

Hourly Rate Details window. Hourly rates were once called 'Guard Rates'. They determine pricing for jobs being charged or paid on an hourly basis.

 System Access Incident Details

Incident Details window. Incidents are miscellaneous, non-chargeable events which occur at a location.

 System Access Internal Notes

Usually called Operator Notes. Notes about the current job which are for internal use only. May be viewed or updated in the Job Details window or by selecting F3 Actions in the Jobs list.

 System Access Job Details

Job Details Window, accessible from the Jobs List or Prepare Items for Invoicing window.

Will be over-ridden if a more restrictive access level is applied by one of the following two settings.

System Access Job Details (Completed Only)

Job Details Window when the job status is complete (has not yet been approved for invoicing, invoiced, or marked 'never invoice').

Will not apply if a more restrictive access level is imposed by the setting System Access / Job Details.

System Access Job Details (History Only)

Job Details Window when the job status is approved for invoicing, invoiced, or marked 'never invoice'.

Will not apply if a more restrictive access level is imposed by the setting System Access / Job Details.

 System Access Job Part Details

The window which appears when adding details of materials to a job.

 System Access Key Details

The window which appears when adding details of a key to a location.

 System Access Large Service Details

The window which appears on pressing the 'Large Edit' or 'More Details' button in the Job Details window. This contains the same information which appears in the 'Service Details' tab of the Job Details window (except Patrols) but offers more room to view or edit.

 System Access Location Contact Details

 Location Contact Details window. (e.g. After Hours, Maintenance contacts).

 System Access Operator Details

 Operator Details window. If given access, operators may change their own password. Only operators with Administrator access may change the password for a user other than themself.

 System Access Panel Details

The window which appears in the Periodic Charge or Periodic Services windows when adding or editing patrol details.

The Periodic Service Details window. NB if you require operational personnel to have access to this window you may wish to consider changing their access to view or edit prices (see above).

 System Access Receive Payments

The Receive Payments window. Access is normally appropriate only for staff receipting payments from customers.

 System Access Resolution Codes

The window which creates or edits Resolution Codes. Access is normally appropriate only for system administrators 

 System Access Resolution Details

The window which appears in the Job Details window when adding details of Resolutions.

 System Access Scheduled Report Details

The window which sets up Scheduled Reports (Reports which are run at predetermined times to report predetermined events.)

 System Access Service Charge Details

The window which sets up service codes, including system-wide default pricing. (Not to be confused with Service Types ).

 System Access Service Provider Details

The Service Provider Details window.  If you require operational personnel to have access to this window you will probably wish to limit their access to pricing information (next setting).

 System Access Service Provider Rates

 The rates which apply when calculating service provider payments.

 System Access Site Conditions

 Site Conditions advise the operator what to do when certain conditions (e.g. a broken window) occur at the service location.

 System Access Site Details

Details of a location, including contact information, alarm information, instructions, and notes. Location-related details will be displayed on jobs and reports regardless of this setting.

 System Access Standard Phrases

Standard phrases may be used to complete the 'Initial Instructions' and 'Service Details' fields in the Job Details window, 'Site Notes' in the Location Details window, and Invoice Details in the Contractor Invoice Details window.

 System Access Supplier Details

Details of parts suppliers.

 System Access Temporary Notes

Temporary notes are attached to a location, are displayed on the Job Details window during the specified date range.  Optionally, the operator is forced to acknowledge current notes when the Job Details window is opened and before editing can continue.

 System Access Zone Details

 Details of a location zone.

Remote Login Profiles

Remote login profiles limit access to the information which can be viewed in Smart (unlike the 'System Access' settings above, which determine which Smart windows can be viewed and what activities can be done there.

The primary purpose of Remote Login Profiles is to control remote access (via RemoteSmart) by customers, suppliers, and other business partners who should only access information of relevance to them. However, they may also be used internally for tighter control over system access.

Once a profile has been created it can be linked to one or more operators, or to an Operator Type (see above).

To create or modify a Remote Login Profile, select \Maintenance \Operator Access \Remote Login Profiles from the Main Menu. 

You can specify one or more of the following in a Remote Login Profile. Only the selections in the profile, or jobs which match the selections in the profile can be viewed or printed by the operator.

  • Customers
  • Locations
  • Alarm Companies
  • Contractors
  • Service Providers
  • Divisions
  • Control Rooms
  • Service Types

If no selections are made then no restrictions apply. For example, if no Customers are specified then details of all customers can be viewed (unless other restrictions apply). If you specify no customers but specify several Locations, only jobs for those locations (and the details of those locations) will be accessible.

If you make multiple selections, only jobs and other details which match all the selections are available. For example if you choose several Customers, Locations, and AlarmCompanies, only those jobs or locations where the Customer, Location and Alarm Company are those you selected will be available to the operator.

Setting Precedence

There are a number of ways in which different settings can apply to the same operator. For those settings made in the Operator Configuration window the order of precedence is as follows (the first case which is true, applies):

  • A setting which has been made for a specific operator in the Operator Configuration window (above) always takes precedence.
  • If there is no setting for specific operator, any setting for an operator type takes precedence.
  • If there is no setting for an operator type, any setting for the operator's access level (i.e. 'Operator', 'Supervisor', or 'Accounts') takes precedence.
  • If there is no setting for the operator's access level, the default setting applies.

An operator type can be linked to a workstation (PC) so that any operator (except those with Administrator access) logging on to that PC is treated as belonging to that operator type. Precedence applies as above.

Divisions and Control Rooms

(Your system may use different terms instead of "Divisions" and "Control Rooms" depending on your system configuration.)

In order of precedence (the first case which is true, applies):

  • If the operator is linked to a Remote Login Profile, those settings are used.
  • (Control Rooms only, Administrators excepted) if a Control Room is specified for a workstation (PC) that Control Room is used (or added to any other Control Rooms specified for the operator).
  • If the operator is linked to an operator type, the operator type settings (in the Operator Details window) are used.
  • The settings for the operator (in the Operator Details window) are used.
