Scheduled ReportsScheduled reports are used to keep customers or other interested parties advised about jobs you do on their behalf. Once they have been set up, you only have to press a single button to print, fax or email all the scheduled reports. To set up or run Scheduled Reports, select \Operations \Scheduled Reports from the main menu. Previous runs of the highlighted report are shown below the list of reports. To define a new report, press the Insert key, or right click and select Insert. The option to show customer charges and contractor payments is disabled unless you have Administrator or Accounts access levels. If reports need to include pricing, ask someone with a higher access level to set them up for you. Report FrequencyThis specifies how often the report is due to be generated. Once it has been generated it won’t generate automatically until it is due again. If you select Only if approved by Operations/Accounts then jobs which have not been approved will not be included in the report. The next time the report runs it will check for jobs which are now approved, going back a maximum of two cycles. For example, if you ran a daily Scheduled Report on Monday but some Monday jobs were not approved, those jobs would be included in the Tuesday or Wednesday report depending on when they were approved. If they were approved after you ran the Scheduled report on Wednesday they would never been included in a Scheduled Report but would have to be issued manually. A Scheduled Report will not include a job more than once. However, a job may be reported on more than once if - a manual report is also generated, or - it is included in more than one Scheduled Report, e.g. if you set one up for the service and one for the location. Report AddressingIf Email is selected but no email address can be found, or Fax is selected but no fax number can be found, the report will be printed, showing the fax number (if any). If you select As per address source, the report will be printed, faxed, or emailed according to the address source. For example, if Customer is selected as the address source, the instructions in the Customer Details window will be followed (i.e. print, fax, or email). |
