Reminder Messages

Reminders are used to pass messages between operators. To display the Reminders window, click the Reminder button  on the Main Menu or select \Operations \Reminder Messages.

This window can also pop up when reminders are due (see below).

To create a reminder, press the Insert key or right click and select Add.

The settings at the bottom of the window determine which reminders are listed in the window.

  • Check Done to see only reminders which have been acknowledged.
  • Check Future to see only reminders which are due later than the current date and time.
  • Select Me to see only reminders which are specifically addressed to you.
  • Select Everybody to see only reminders which are specifically addressed to you or to 'Any Operator'.
  • Select Anybody to see all reminders.
  • Check Don't Pop to prevent this window popping up when a reminder is due. This box can be disabled for users with Operator or Supervisor access by changing a configuration setting (this ensures that operators cannot overlook a reminder message).

Press the Done button to acknowledge that you have read the message. This will remove the message from the active list. For messages which are addressed to 'Any Operator' the person who originated the message should be responsible for marking it Done when they feel the message has been displayed for long enough.

 

Double click on an existing reminder (or right click and choose Change) to see the message in full.

 

  • Check the Done/Read box to remove the reminder from the list of current reminders, or clear this box to restore a reminder to the active list.
  • Check the External box to send a message to another control room via SmartNet. The list of addressees will change to display SmartNet control rooms. (You can't send the same message to both internal and external users.)
  • Check Don't pop up when due to prevent the reminder window popping up when this message is due. Choose this option for non-critical messages.

 

Position Checks

'Position checks' are a reminder to the operator to check with the contractor that a guard is on the way. The reminder is displayed by the operator message system.
 

Setup

By default, position checks are created 90 minutes before the shift is due to start. To change this go the General Configuration window (\Maintenance \ Smart Setup \ General Configuration) and go to the Labour/Guards tab:
 
 
 
 

Specifying that a position check is required:

Create a job with one or more guard shifts. In the Safety Checks tab of the shift details window, check the Position Check box.
 
 
 
To make this the default setting for all new shifts, go to the Control Room Details window  (\Maintenance \Smart Setup \Control Rooms) and check the Position Check box in the Safety Checks tab.
 
 

Generating the check

A job runs on the server once a minute to generate position checks, so they may not be visible in the operator message window (if due) for up to a minute. Checks are generated up to an hour before they are due but will not pop up on the operator's screen until they are due.
 

Displaying the check reminder

Messages and reminders can be viewed by clicking the Reminders button on the top toolbar:
 
The Reminders window will pop up automatically at the due time unless popup has been disabled by the operator. Right click in the list of reminders to see whether popup is enabled:
 
 
To prevent operators disabling the popup, go the General Configuration window, System tab, and check 'Force Operators and Supervisors to see Reminders'.
 

Viewing job details

Double click on the reminder and then the 'Job Details' button at the bottom of the window:
 
 
The operator dismisses the reminder by checking the Done/Read box in the Reminder Details window, or clicking the Done button in the list of reminders. This will prevent the reminder popping up for all operators. It may still be viewed by changing the view in the list of reminders.
