SMART Latest Changes

These are the most recent changes added to Smart. They appear in reverse numeric order so that the latest changes appear first.

For a list of changes in previous versions, refer to the Change History page.

14. The new 'Requested By' field in the Job Details window can now be renamed e.g. to provide an additional customer reference. To change the name go to the General Configuration window, Field Names tab.

13. Invoices may now be deleted, provided that the operator is authorised to do so and that no payments have been received against the invoice. To allow an operator to delete and invoice, change the operator setting Invoicing / Delete Invoice

12. Aged customer balance can be displayed in the Job Details or Customer Details windows, or the list of customers.

11. Jobs in the dispatch window can be colour coded by service provider. (Specify colour in Service Provider Details window, \Maintenance \Service Providers).

10. Labour details can now be edited in the Job Details window without having to click through to another window.

9. Support for two levels of master customer (for those reports which allow a master customer to be specified). Allows national customers to be grouped by state (or brand) and then nationally.

8. Key register improved. Key numbers now sort correctly and car numbers updated when cars are changed or removed.

7. Error when importing or updating postcodes now fixed.

6. New phone list (button at top right of main menu) gives access to all contact details in Smart, regardless of where entered.

5. New SMART install/upgrade program is compatible with Windows Vista and security requirements for some Windows XP systems. Database upgrade is now performed automatically if required.

4. Minor fixes to key register, invoice printing (Invoice Now tab now displayed, printing of single invoice always includes off site report)

3. Operator Analysis window (\Maintenance \Operators \Operator Analysis) shows graph of operator activity for the specified week. Right click on the graph for drilldown and other options.

2. Option to hide Accounts tab in Job Details window. (By default, users with Operator or Supervisor access can't see Accounts details).

22. New option: No charge if over maximum response time specified for customer (see charge/payment details screens).

  • Separate maximum response times can be specified for day (i.e. business hours) and after hours.
  • To specify the maximum response times for a single customer, go to the Customer Details window.
  • To specify the same maximum response times for all customers, go the General Configuration window (\Maintenance \Smart Setup \General Configuration), Job Details tab, enter the times, and press the OK button. You will be given an option to apply these times to all customers. If you do not take this option the setting will only be applied to customers added after you make the change.

21. Operators automatically logged off after period of inactivity (set to 0 for no forced logoff). (General Configuration/System)

20. Multi-field search provided when selecting from list of locations e.g. before creating a job.

19. Profit is now calculated and displayed in the Accounts tab of the Job Details window. To set profit targets, go to the Service Types tab of the General Configuration window and change the setting Billing / Maximum Profit Margin. To hide profit margin, clear the 'Show Profit Margin' checkbox in the Accounts tab of the same window.

18. Response Action Summary can now be exported as a single line spreadsheet (.csv).

17. Operators can choose to make buttons through SMART more visible (Operator configuration - System / Flat Buttons).

16. When printing key listings you can now choose to display your company name and/or logo and provide a place for the contractor or service provider to sign the list.

15. Documents (including quotations) can now be quickly created from the Job Details, Location Details, or Key Details windows. Information from Smart (e.g. customer details, location details, or job details) can be automatically included in the document. For further details go here

14. Statement printing: Option to print statements only for selected customers. In the customer list, press the space bar to select or de-select customers, then press the Statement button to print statements for them. NB statements will only print if there are items matching your settings in the Statement Print window.

13. Statement printing: Option to print statements only for customers with invoices outstanding for more than a specified number of days.

12. Printing key listing now has option to show full location (site) address.

11. Pricing by postcode. To price by postcode, first create one or more postcode regions (\Maintenance \Smart Setup \Postcodes \Postcode list \Regions tab. Then create an over-ride rate for this region in the Customer Details or Job Details windows.

10. Various improvements to new Job Details window.

9. Prepare items for invoicing window: hover the mouse over the question mark at bottom right to see an explanation of the highlights on the current job.

8. Different maximum response times (Customer Details window) can now be set for 'day' (0600-1800 Mon-Fri except public holidays) and 'other times'. The default setting is in the General Configuration window, Job Details tab. After changing the default setting you are given the option of updating all customers with the new setting.

7. Default response service codes can now be set by state. See General Configuration \Time Zones.

6. Email system revised for greater speed. Emails can now be sent by clicking the Email button on the mail menu.

5. An alarm response can be created if a safety check becomes overdue

  • when setting up a shift, check the 'Response on Fail' box
  • by default the response is created when the check is 15 minutes overdue. To change this setting go to the General Configuration window, Labour/Guards tab, and change the setting in the Safety Checks box.

4. Operators may now be permitted to add or view operators, provided the access is not greater than their own. To give them access to the operator list, change the operator configuration setting Main Menu Access/Maintenance to Yes. To control adding and changing of operators, change the setting System Access/Operator Details.

3. The operator can be forced to enter the name of the person requesting the service before proceeding. Check the box in the Customer Details  window, Invoicing\Reports tab.

2. Jobs can be charged to credit card, EFT, or cash.

  • Specify the allowable payment types in the Invoicing/Reports tab of the Customer Details window. (You may want to create a customer called e.g. 'Casual Accounts' for this purpose.)
  • If you specify a payment type of Credit Card, EFT, or Other without entering any details, the operator will be forced to enter the details (e.g. credit card number and expiry) before the job can proceed.
  • If two or more payment types are allowed the operator is required to select one of them before proceeding with the job.
  • Payment details (e.g. credit card number) are shown in the Accounts tab of the Job Details window.

1. Reminders can now be set to repeat.  When creating a reminder, enter a number in the Repeat Every box, and choose Hours, Days, Weeks, or Months. To prevent reminders being repeated, enter a zero in the Repeat Every box, or click the Stop Future Reminders button which appears in the list of reminders.
When you mark a repeat reminder as done it will be rescheduled for the next time due after the current time.

This version is a substantial upgrade which will include substantial changes to patrols functionality, a new look, and  (if your licence allows) a guard rostering system with safety checks. It is expected to be generally available in March 2005. The changes listed below for Smart 3 also apply for Smart 4.

1. More control over access to the Periodic Charge/Service Details window. New Operator Configuration settings:

  • System Access / Periodic Customer Details
  • System Access / Periodic Date Details
  • System Access / Periodic Guard Details

  • Edit (the operator may edit the entries).

9. Alarm monitoring interface modified to remove need for DDE link when creating jobs.

8. New feature: Entry of on and offsite times for multiple days on the same job.

  • On site time is entered as normal.
  • When the operator attempts to enter an offsite time they are presented with a window to enter the time and an optional comment, and a checkbox to indicate whether the job is finished.
  • The comment is displayed in the Service Details field.
  • If the job involves more than one visit, the time for each visit is recorded in the Labour/Materials tab of the Job Details window.
  • To turn this feature on go to the General Configuration window, Service Types tab, and change the setting Job Details/Multi-day jobs to Yes.

7. New feature: Close multiple jobs. When a job is completed the operator is asked whether they wish to complete other jobs for the same location. They can select one or more jobs, and these jobs will have the same on site, off site, and advised times, docket number (or line number), patrolman, service details, order number, labour, and materials. The feature is configurable by service type.

  • NB before the settings for this feature are available you must close off at least one job with this version of Smart.
  • To turn the feature on go to the General Configuration window, Service Types tab, and change the setting Job Details/Prompt to close other jobs to Yes.

6. 'Past midnight' job time entry problem finally solved (thanks Matt for accurate problem report).

5. Printing contractor payment advice now has option to print payment note.

4. Change history for Locations and Periodic Charges/Services now shows more detail.

3. Standard phrases and alarm status codes can now be made available to specified control rooms only.

2. Jobs can be automatically emailed or faxed to the customer after completion. (Faxing requires that you have a Zetafax server and the Smart/Zetafax interface installed.)

  • Jobs are emailed from the workstation where the job is completed. Make sure the workstation's email settings are correct (\File \Workstation Setup \ Dialler/Fax/Email). Please note that the operator will experience a brief delay (2-5 seconds) after closing a job which has just been completed and which is being emailed.
  • Turn on this feature in the Service Types tab of the General Configuration window (\Maintenance \Smart Setup\ General Configuration. Change the setting Job Details / Auto Send for the Service Type (or all Service Types) to Yes.
  • If you have Zetafax installed,  a setting Job Details / Auto Send via appears. It has these settings
    • Email - send by email (if an address is available)
    • Fax - send by fax (if a fax number is available)
    • Fax if no email - send by email if an address is available, otherwise send by fax (if a fax number is available).
    • Email if no fax - send by fax if a fax number is available, otherwise send by email (if an email address is available).
  • The job will only be sent if there is a customer email (or fax) address. 
  • The outcome of the send (e.g. succeeded, failed because .. ) is recorded in the Change History for the job (Internal Notes tab).
  • A job will not be automatically sent more than once. 
  • Abandoned jobs will not be sent (if required, send them manually).

7. By default, Administrator access is required to change rates for a customer with the 'Major Customer' flag set. Other operators may be granted access by changing the Operator Configuration setting Pricing Access/Major Customer.

6. The 'Major Customer' flag in the Customer Details window can only be changed by users with Administrator access.

5. Service Providers can be flagged as 'Business Hours' (06:00 to 18:00 except weekends and holidays) or 'After Hours' (all other times). The appropriate Service Provider will be selected based on the time a job is created.  This setting is intended for alarm responses. The setting on the 'Availability' tab of the Service Provider Rate window is more suitable for other service types.

4. When the operator is selecting a customer for a job, the option to Add a customer is not available if the Operator Configuration setting System Access / Customer Details does not allow it.

3. The Operator Configuration item Location Details,Operator links customer determines whether operators may, may not, or must link a customer when a new location or job is added. Making the right selection may reduce billing inaccuracies.

2. Part Details can be viewed for an invoiced job.

1. Operators are prevented from changing the number of events to show in the Location History window. By default Administrator or Accounts access level is required to make this change. To change this setting, change the Operator Configuration setting Location History, Change no. events to show.

28. The Response Action Summary report can now be sorted by job number or customer.

27. Different invoice messages can now be specified for each division. In the Invoice Print window, go to the Filter tab and select the division, then click on the Invoice Message button.

26. The date display in report setup windows now utilises a dd/mm/yy format instead of the format specified by the PC.

25. In the Job Dispatch window, the number of jobs before 'Fast Load' is automatically turned on is now configurable (press F2). When Fast Load is turned on the list of jobs will display more quickly but cannot be sorted by clicking on a column heading.

24. Document attachments (for Locations, Keys, and Incidents) are now supported in RemoteSmart. The attached documents are stored at the remote end (on the operator's PC or network) and can't be viewed by operators who don't have access to the same network or PC.

23. Proxy Server settings now available for SMS transmission.

22. SIMS Sync: when customer linked to Location, the Location is given the default Service Codes (if any) for the Customer's Division.

21. Size of Invoice Number field extended to 8 digits.

20. Size of Service Code field extended to 6 characters (was 3 characters).

19. Documents (for example key scans or key receipts) can now be attached to key records.

18. Notes created for a Periodic Charge or Service are now attached to that Periodic Charge or Service as well as the customer, so that only related notes can be displayed.

17. Operator preferences (window size and location, list box column width) are saved and restored regardless of which PC the operator logs on at. NB preferences in the Job Dispatch window are stored based on Service Type, e.g. Patrol settings may be different to Response settings.

16. New option to prevent operator printing multiple invoices (i.e. access 'Print Invoice' window). Operator Configuration setting 'System Access', 'Invoice print (multiple)'.

15. Adjusted access to Periodic Charges and Services so that users who are prevented from seeing Periodic Charges or Services can't see the list of Charges or Services (previously, could see the list but not the details).

14. New option to allow operators to edit or view customer rates and/or contractor rates in the Job Details window. See the Operator Configuration settings 'Pricing Access', 'Customer Rate Details' and 'Pricing Access', 'Contractor Payment Details'.

13. Operator configuration would not or bar items on the main menu unless that was the default selection. Fixed.

12. List of public holidays would scroll endlessly. Fixed.

11. New option to use site code as order number when dispatching Response job for specified Alarm Companies. Check the box 'Site Code as Order Number' in the Alarm Company Details window, Settings tab.

10. When adding a new Service Provider you can now add them as a Contractor with a single click (Service Provider Details window).

9. The 'From Time' field for a Periodic Service had no effect. Fixed (used as Received and Scheduled time for generated job).

8. Contractor invoice number and total can now be modified after processing commences.

7. Occasionally problem with very slow response when selecting jobs for contractor invoice. Appears fixed (please notify Skorpion if it occurs again).

6. Default services for a location can now be defined by Division (see Division Details window).

  • When a customer is selected in the Location Details window, the operator is prompted to use the services (if any) for the division linked to the customer.
  • When the customer is changed using Bulk Location Update or Bulk Change Location Customer, there is an option to update the default service for the locations.
  • When a Location is added using the 'Add New Location' button in the Location lookup list, the first entry on the following list which specifies default services is used:
    • The division for the 'bill to' customer. 
    • The Alarm Company.
    • The operator's Division.
    • If no other default service can be deduced, it is set to R (Response).

5. You can now specify a default weekday service for a location. This service is the default when creating a response between the hours of 0600 and 1800 on a weekday which is not a public holiday. This service is specified in the Location Details window.

4. When the customer division is changed (Customer Details window) the operator is prompted to change the division for the customer's services to the same division.

3. The list of service codes may now be filtered by division.

2. List of Contractor Invoices (\Accounts \Contractors \Contractor Invoices) may now be filtered by contractor and you can search by invoice number. The invoice number search is fuzzy, e.g. if you search for invoice 12 then all invoices starting with 12 will be displayed. You can also search for an invoice number containing one or more numbers by placing the wildcard character % in front of the invoice number to search.

1. New option to store the start and end date of a Periodic Charge in the OnSite and Offsite fields of the Job details. This is to allow reporting on these dates using Excel or Query Analyser. To turn this option on, go to the 'Service Types' settings (select  \Maintenance \Smart Setup \General Configuration from the Main Menu and go to the Service Types tab) and change the setting 'Periodic Charge', 'Show date range as on/off site' to 'Yes'. NB for this setting to appear you must generate periodics at least once with this version of Smart.

8. Peformance statistics reports (e.g. by Service Provider) can now include only day shift or night shift (or both).

7. Operator name is now added to the body of emails. To turn this on or off, go to the Operator Configuration setting Report Email/Show Sender.

6. Division name (called Class ID in some systems) was not being displayed in the Job Details window. Fixed.

5. Printing a new job from the Job Details window would sometimes give a 'nothing to print' message. Fixed.

4. A new Operation Configuration entry prevents jobs being cancelled once creation of a job has commenced. (Operators could accidentally cancel out of a job after entering details, causing the job to 'disappear').  Operators must save the job and may mark the job abandoned (if permitted to do so). The setting is turned on by default. To turn it off, go to the Operator Configuration item Job Details/Cancel Job add once created and set it to 'Yes'.

3. The 'Spreadsheet Export' and 'Response Action Summary' reports may be selected by both date and time (previously date only).

2. Changes to the registration system to support Smart 4.0 would cause Smart 3.x installations to become unregistered or unexpectedly limited. Fixed.

5. When keying in a date in the job details window the first number would not be displayed until the operator tabbed away. Fixed.

4. Credits could not be edited (if the operator was authorised to do so). Fixed.

3. Dialer would crash if closed before hanging up. Fixed.

2. 'Sent from SMART' message removed from the bottom of emails sent from SMART. Carbon Copy (cc) setting now works. Copy of email was being sent to non-existent Skorpion address, fixed.

1. New option to run SMART in SDI (Single Document Interface) mode, which may prevent crashes on some PCs which are otherwise unstable. Append /S to the SMART command line (right click on the shortcut you use to start Smart, choose Properties, and add a space and then /S to the line which ends in Smart.exe. If quotes appear around Smart.exe, add the /S after the quotes.

When running in SDI mode the main differences are

  • Only one window can be active at any time.
  • To access the main menu you must close all open windows.
  • You cannot edit more than one job at the same time.

5. Operators may be forced to nominate a customer if none is specified for a job.  In the General Configuration window, Job Details tab, set the When adding new or temporary location setting to 'Must'. This previously applied only when adding a new location but now also applies when creating a job. It only applies to uses with 'Operator' access level.

4. Option to suppress 'cleared by ' message on invoiced responses. Select \Maintenance \Smart Setup \General Configuration and clear the Add Cleared by  checkbox on the first tab.

3. Export to Spreadsheet may now include Site Code.

2. The Prepare Items for Invoicing window would not show all items when first opened. Fixed.

1. By default, patrols are now also shown in the list of  active jobs when 'Response' is selected as the service type. To show only responses, set the Operator Configuration setting Jobs List \ Include patrols with responses to No.

2. Invoices may now be edited provided payment of the invoice has not commenced and the operator setting Invoicing/Edit Invoice is set to Yes. By default only Administrators are permitted to edit an invoice. Job pricing and details may be edited. 

  • Edit the invoice by first finding the invoice in the Receive Payments window or the Invoices/Payments/Credits window available from the Customer list (and other places where a list of invoices is displayed).
  • To transfer an entire invoice to another customer you should delete all the jobs from the original invoice (press the delete key or right click and choose Delete from Invoice). This leaves an audit trail and ensures that the original invoice header is retained. Changing the customer in the Job Details window but leaving the job on the same invoice will have no effect.
  • Jobs which are 'deleted' from an invoice are returned to the Not Approved section of the 'Items to be Approved for Invoicing' window.  

1. The job received time may optionally be displayed next to the on site and off site times on the invoice (only applies for invoices with job detail appearing in the body of the invoice).

6. Minor changes to tidy up invoice printing - logo (if any) moved up to clear address, longer customer name permitted, customer contact name may be printed next to customer name (to do this, check 'Show Customer Contact' in the Invoice Layout window.

5. The 'Repeats' field in the Service Details tab of the Job Details window (Patrols view) is now updated with the number of patrols in the list below. If no patrols are in the list, the number may be adjusted manually. The job price is adjusted whenever this number changes provided that block pricing is used for this service.

4. The customer contact may be shown next to the customer name on an invoice  - check the 'Show Customer Contact' box on the Invoice Setup window.

3. Invoices may be printed without the invoice header and remittance advice - check the 'sub invoice' box on the Sorting and Display tab of the Print Invoice window.

2. Operators may be prevented from cancelling a job add once the job has been dispatched. Operator configuration, Job Details, Cancel Job Add once dispatched

1. Changes to customer or Service Provider pricing are now logged. Go to the Availability/Fees/Taxes tab and press the Change History button. Changes are not logged in detail except for the 'No Charge' selection.

6. The Export to Spreadsheet facility (\Accounts \Export/Import \Export to Spreadsheet) now has an option to select jobs by invoice date and/or contractor.

5. When a Patrol is marked OnSite using the Mobile Patrols window (F3 from the Job Dispatch window), the name of the driver currently logged on to the Patrol car is entered on the Patrol Record.

4. Patrol details (for Advanced patrols) can now be included on the invoice by checking the Include Patrol Details on Invoice box in the Invoice Layout window. (The Invoice Layout window can be found by selecting Print Invoices \ Sorting and Display \ Invoice Layout from the Smart map, or \Accounts \Divisions from the Main Menu.

3. Incomplete jobs in the job dispatch window can now be filtered to show only jobs which haven't been dispatched, or jobs which are otherwise complete but have not yet been notified to the Alarm Company or Customer (if this is required before the job can be considered complete).

2. Fixed: When importing an updated postcode file, duplicate entries would be added. These entries are removed as part of the database upgrade for this version.

1. Select Service Provider by Suburb - you can specify a Service Provider for a single suburb or a group of suburbs, and Smart will automatically select this Service Provider when creating a new job for that suburb. More details here

7. Patrols record - offsite report for an individual patrol may now now be edited after the offsite time has been entered if the Operator Configuration entry Patrol Details/Edit when offsite is set to Yes.

6. Job dispatch window: when viewing list of jobs of all service types, a new job would assume the service type of the currently highlighted job. Now defaults to Response.

5. Fixed bug which would prevent an invoice printing after reprinting an invoice run for a single customer.

4. Restored warning sounds to job despatch window. A range of sounds may now be picked from a list instead of being obtained separately.

Minor interface changes in response to specific requests. No change to existing interface but there are new options.

11. New setting enables on- and off-site times and initial status/request to be printed on invoice for non-response service types. General Configuration window, Service Types tab, 'Invoice Printing','Show On Off Site Times'.

10. These help notes have been reformatted for improved printing.

9. When adding a temporary location, the option to bill to the location may be disabled - Operator Configuration window, Temporary Location / Allow to bill location .

8. New operator configuration item Job Details / View Provider Details. If NO, details of the provider allocated to the job are concealed from the user (implemented for RemoteSmart access), and the Service Provider buttons are removed from the Job Details and Location Details windows.

7. New operator configuration item Job Details / May Despatch Job determines whether the user may despatch a job. If NO, the user may enter or update any other job details which their access levels permit (implemented for RemoteSmart access).

6. An additional setting has been provided to determine whether a user can change the location specified for the job once the job has been created, Job Details / Change Job Location in the Operator Configuration window.

This supplements the existing setting in the System Configuration window, Job Details tab, which applies only to Response jobs and to all users other than those with Administrator access.  The most restrictive setting applies.

5. The System Configuration setting which determines whether users with Operator access level may approve jobs has been removed (it has been replaced by the Operator Configuration option Job Details / Approve Job (Ops) .

4. Two new settings in the Operator Configuration window determine whether a user can change a job once it has been completed,  System Access / Job Details (Completed Only) and System Access / Job Details (History Only)  

(Completed Only) applies to jobs which have been completed but not yet approved for invoicing, invoiced, or marked 'never invoice'.

(History Only) applies to jobs which have been completed and approved for invoicing, invoiced, or marked 'never invoice'.

These settings replace these two previous settings

3. The ability to change the customer to be billed for a job can now be set by operator level, operator type, or individual operator. This is determined by the setting Job Details / Allow to change customer in the Operator Configuration window.

This replaces the previous setting in the System Configuration window which applied only to Response jobs and users with the Operator access level. Following the upgrade default behaviour is to prevent users with Operator access from changing the customers.

2. When you are entering a new job and pressing the Tab key to move around, Smart attempts to take you to the appropriate next field based on the information you have entered so far. To prevent this and revert to normal Windows behaviour, change the setting Job Details / Auto Field Selection in the Operator Configuration window to No .

1. New option allows disabling of automatic Service Provider selection when you create a new job.  Change the setting Job Details / Select Provider Automatically in the Operator Configuration window to No .

This is a general release version. Most of the changes in this version relate to ADSW integration and Contractor Invoice Reconciliation (this will be a great timesaver for your Accounts Department) .

25. Periodics: You can now choose whether the customer reference (if any) is used as a job number. See the Periodics tab in the General Configuration window.

24. The Smart database can now be backed up automatically .

23. Items in the Prepare Items for Invoicing window can now be tagged or untagged using the space bar.

22. The Sales Report now has the option to exclude jobs which do not have a payment calculated for the contractor. This gives a truer picture of profitability.

21. When creating a Temporary Location the operator now has options to bill the Alarm Company, or create and bill a new customer with the same name and address as the location.

20. You can now have multiple time zones with the same state. Set up time zones in the General Configuration window, Time Zones tab. In the Location Details window, press the 'State' down arrow to select from a list of time zones.

19. Jobs in the 'Prepare Items for Invoicing' window can now be filtered by state (e.g. see only Queensland jobs).

18. Job Details window: 'Cancel' button now says 'Cancel Changes' (or 'Cancel Job' when first added).

17. Bulk Location Update would fail if changing Service Providers and a Service Provider was already linked to a Location twice. Fixed.

If you choose Use Fixed Width Font  in the Periodic Details window, all jobs or charges generated by this periodic are generated with this setting on.

11. Items in the Prepare Items for Invoicing window can now be searched by invoice number. Other searches are more powerful, for example when searching by job number other filters are not applied.

9. When generating or reprinting contractor Charge Listings you can now choose to print advices for a single contractor.

8. Contractor Payment Advices have now been renamed to Charge Listings in line with current use. The term Payment Advice is now used when printing a reconciled Contractor Invoice.

7. Contractor Invoice reconciliation is now complete.  This provides a much faster and more accurate way to reconcile contractor invoices. Full details here. Reports which show job cost or profitability now show actual payment (if made) rather than calculated payment.

6. When selecting Periodic Charges or Services from the Customer list, Charges or Services for all customers would be shown. Fixed.

9. A new Change History button in the Service Provider Details window shows services which have been added, changed, or deleted for the Service Provider.

8. Changes to a Location's Service Providers can be viewed by pressing the Change History button in the Location Details window. Only changes made after the installation of this version are displayed.

7. After making a labour entry (Job Details window, Labour/Materials tab) you can quickly copy the entry for successive days. Highlight the entry in the list and press Ctrl Down (hold down the Ctrl key and press the down arrow key).  All booking details are copied except that the date is advanced by one day.

6. When making a labour entry on a job (Job Details window, Labour/Materials tab) you can now specify the number of persons required for each shift. Please note that this does not permit entry of different start and finish times for the persons involved.

5. An Inactive flag has been added to the Service Details window. This prevents the operator from selecting this Service Code when creating a new job (the Service Code does not appear in the list of Service Codes, and it will be ignored if entered in the Service Code field). Existing jobs with this Service Code are not affected.

4. An Inactive flag has been added to the Service Provider Details window. This removes a Service Provider from the list which appears when despatching a job. The Service Provider may still be selected for reports.

3. A section of help has been added to explain how to extract information from Smart into Microsoft Excel. Additional database views have been defined to make it easy to extract information about Customers, Locations, Patrols, and Keys. An updated version of the existing view (VJobs), called VJobs2 has been modified and simplified to assist in extracting job information.

1. By default, if an operator selects a Service Provider for a job and that Service Provider has not provided the service before, the Service Provider is linked to the service (and default payment rates apply). The Service Provider then appears in the selection list for this service for any Locations to which they are linked to provide All Services. You can now prevent this from occurring, or warn the operator, by changing the Operator Configuration setting Service Providers \ Select if no rate. The options are

  • No - the Service Provider may not be selected for a job unless the service appears in the Service Provider Configuration window.
  • Yes - the default behaviour applies as above.
  • Warn - the operator is warned that the Service Provider has not previously provided this service, and has the option to select another Service Provider.

Minor upgrade to address some customer-specific issues. If you have version 3.312 installed, there is no need to upgrade to this version unless directed to do so by Smart support, or unless you need one or more of the following features:

Job Details window: The off site date automatically entered (by pressing the space bar or F8 key) may be set to default to either the current date or the same date as the on site date by changing the setting Job Details/Default Off Site Date in the Service Types tab, General Configuration window. For a Response, the Off Site Date is always within 24 hours of the On Site date, regardless of this setting.

9. When the Job Details window is open, the job list is now not refreshed. This may provide a minor speed improvement and more stable behaviour on some systems.

This version is a 'benchmark' release for general distribution. 

It contains some minor bug fixes and a substantial upgrade of the help system.

7. Fixed: Choosing the 'Generate, Don't Print' option when printing invoices would cause jobs to be linked to an invoice but not marked as invoiced. Consequently these jobs would be attached to a fresh invoice on the next invoice run.

6. The initial instructions for a job may optionally be printed on an invoice by setting the Invoice Print /Print Instructions in the Service Types tab of the General Configuration window.

5. All Smart windows now have a corresponding help window. The content of these windows is about 60% complete overall but several major sections have been completed.

4. The operator is warned when changing a job number if there is one or more jobs with the new job number. (By default, users with Operator or Supervisor access levels may not change a job number.)

3. When generating Periodic Charges and Services you can now specify a date to generate to (manual operation only). This enables you to generate and process month end charges ahead of the end of the month. If you generate periodics for a date ahead and subsequently add a periodic which should have been generated earlier it will be picked up (with the correct dates) next time you generate periodics.

23. The Response Action Summary report now has the option to set the price of an abandoned job to $0. Please note that this does not affect the price in invoicing or other reports. The phrase (Abandoned) is shown in the Offsite report if it does not already appear there.

22. When printing jobs from the Jobs List or Jobs Details screens you can now select by Customer. This means that you can print a list of all jobs for a customer in a date range, in the same format as when printing a single job.

21. The reports 'Sales by GL Code' and 'Sales'  have been modified so that the totals can be compared. They should deliver the same total sales figures (previously credits were handled differently in 'Sales by GL Code').

20. In the Jobs list, the time before the list resorts to show the most urgent job at the top can be configured. Press the F2 key or click on the 'Change Window Layout' button at the top of the window. The setting is stored by operator. This facility is only available when viewing active jobs with 'Fast Load' turned off.

19. A list of job codes may be printed by selecting \Maintenance \Smart Setup \Job Codes \Print Job Codes or \Reports \Listings \Job Codes. The list optionally includes Classification Codes, Control Rooms, Divisions, Standard Phrases, and/or Initial Status Codes.

18. Sales report has more options for selection and totalling.

17. GST report was showing service price including GST, now showing price ex GST as labelled. (GST total remains correct.)  Some explanations and totals have been added to the end of this report (cash basis only) showing variance between payments received and payments applied. Credits have now been excluded (to reverse a payment made in error, enter a negative payment).

16. A list of notifications in progress can be viewed by selecting \File \Notification Status from the Main Menu.

15. (NSW Education only) Invoices and reports show 'Cleared by DET Security' instead of 'Clear by [District Name]'

14. Service Providers may be auto-dialled from the Service Providers list when accessed from the list of locations.

13. (ADSW only.) Dialler number and name is shown in the list of zones and panels in the Location Details window.

12. (ADSW only.) Multiple communication devices (modems) may be attached to a dialler. The type of device (e.g. GSM modem, IP, Landline) may be specified.

11. (ADSW only.) A Modem Number search can be carried out from the list of locations. Press the 'Modem Search' button at lower right and enter some or all of the modem number or IP address. Only locations with a matching modem number or IP address will be displayed in the list of locations.

10. The Print Invoice window now retains the 'Items to Print' and 'Unpaid Invoices Only' settings.

9. The Periodic Charges and Services windows have additional filtering and sorting options and updated help information.

8. All Operational Statistics reports can now be selected by Control Room (the term 'Control Room' might be changed to another term, e.g. 'Operating Unit', in your system).

7. A new Service Provider Check report lists patrols and hourly jobs scheduled to be done in a date range by various criteria. This enables you to carry out random field checks to ensure that services are being provided on time and to a satisfactory standard.

6. Invoice dates. Items which are marked 'invoice now' but are dated later than the 'include items to' date in the Print Invoice window will not be included in the invoice run.

5. Periodic charge pricing now concealed from operators who don't have the appropriate access level. Operators may be prevented from generating periodic charges or services (Operator Configuration window).

3. When the reminder window pops up, reminders for "All Operators" and "Me" are first shown. (The window would appear but apparently with no reminders to display.)

2. Receive payments: It is now possible to apply a negative 'payment' to an invoice. This enables you to reverse a payment or credit. Follow the same procedure as when applying a payment or credit, i.e. select the payment or credit first (Ctrl-click), then the invoice, then enter the negative amount.

1. Location history: You can now specify the maximum number of events (of each type) to be displayed.
