Part 3. Searching for (or
adding) a location
The Location Search window appears when you
press the lookup button [...] to look up a
location, or (depending on your system
configuration) may appear when you start to
create a new job.
There are several ways to find the location
you want.
- Enter the first
few letters in one or more of the entry
fields along the top so see only locations
which start with those letters. For
example, entering WOR in
the site name would have shown only the
first entry in the list below.
- Use a wild card
search (%) to match characters
anywhere in the location field. For
example, entering %PROD in
the Site Name field would allow these
locations to appear in the list

- Choose one of the
tabs below (By Site Code, By Site Name,
etc) to sort the list into a different
order.
- To clear the
search, press the F4
button.
In addition to (or instead of) the above
method, you can use a Locator search
- Click on a tab
(e.g. By Site Name) depending on what you
want to search by.
- Click in the list
so it is highlighted (as
below).
- Now type the
first few letters of the name you are
searching for. For example, if you chose By
Site Name, type the first few letters of
the Site Name (Location name). The
list will move to the first matching
entry.
- To clear the
search, press the up arrow
key.
Note:
- Some of the terms
displayed above may be different in your
system.
- If you can't find
a location, check that the
State field is set
correctly. This selection is not cleared
when you press the F4
button.
- If you selected
VIC as the state, locations in TAS will be
displayed too.
- Colour coding is
used to display further information about
the locations in the
list:
Adding a new location
If you can't find the location in the list,
press the Add New Location
button (lower left). This window will
appear:

(Depending on your system configuration
there may be minor differences in
appearance.)
- As a minimum, you
must complete the fields in red. Depending
on your system configuration you may also
be prompted to add other
information.
- If appropriate,
press the Alarm Company button to select an
Alarm Company (the term Alarm Company may
have been changed in your
system).
- The initial entry
in the Site Code: field is
system generated. If desired you may change
this to a number provided by the caller.
However, that number must be unique i.e.
not already exist in your system. If it
does exist, the matching details will be
shown in this window. If you change those
details, the existing details will be
replaced by your changes, so it is unlikely
you would want to do this.
- The
Address 1 line should be
used for extra address information, e.g.
'Unit 1' or 'Factory 1'
- If your system
has been set up with a postcode file, the
entry in the Suburb field
must match an entry in the postcode file.
If this is a new suburb, choose the nearest
suburb which appears in the list, put the
correct suburb name in the Job Details
window in the Initial Status/Request
field.

The Bill
To area determines the
account that will be charged for
work at this location.
- Specify
Later means that an
account will be specified later,
perhaps when the job is
complete.
- Alarm
Company means that the
Alarm Company will be charged. For
this selection to be enabled you
must have selected an Alarm Company
at the top of the window and that
Alarm Company must have a customer
account specified in the
Alarm
Company Details
window.
- As Above
means that a new customer will be
created with the same name and
address as the new Location, and
will be charged for work at this
Location.
- Press the
Customer: button
to select a customer to charge.
(This customer will only be charged
if you also select the radio button
to the left.) Press the button
again to remove your selection.
Depending on your access level and
configuration, an
Add or
Update button may
appear which will allow you to add
a new customer or update details
for the selected customer. The Add
button is only displayed when no
customer has been
selected.
