Creating and updating guard jobs.
This document explains how to create or update a casual guard job in the dispatch window. If you
are setting up permanent guard shifts you should create a Periodic
Service, which will automatically create guard jobs each week (or other period) as
required.
Both permanent and casual guard jobs are displayed in the Guard
Scheduling window, where they can be more easily managed by the person responsible for
arranging staff.
If you are responsible for monitoring guard work as it happens you may find it easier to
use the Field Monitor window, which is enables you to focus on work requiring your
attention right now.
Creating a job
In the list of jobs in the Dispatch or Field Monitor window, right click and choose
Add or Create Job (or press the Insert key). Specify a location and service code. If you
know who the Service Provider will be for some or all shifts, you can specify
them now.
In the Shift Calculator box at right of the Job Details window, enter the date and time of the
first shift and the number of people and hours required. Press the Schedule button to
calculate and display the shifts.
If you want to change the settings that determine how the shifts are calculated, right click on
the Schedule button.

If the Shift Calculator is not displayed, change the Service Type setting Job Details /
Schedule Jobs to 24x7.
To quickly add additional shifts, highlight one of the shifts in the list and press Ctrl-Down
(hold down the Ctrl key and press the Down arrow on your keyboard).
To edit the times, double click on the shift.
Changing the service provider.
By default the Service Provider you specified above the list of shifts is applied to all
shifts. To change the provider for all shifts, change the Provider here. To change the provider for
for only some shifts (e.g. to have a different provider for day shifts), right click in the list of
shifts and choose Change Provider.
Entering actual times
You enter times in a number of ways
- Right click in the list of shifts to set the Actual times to the Booked times for one or
more shifts.
- Highlight a shift and press the space bar or click the Clock On/Off button at left to
enter the current time as the From or To time.
- Double click on a shift to edit the time.
Other shift details
Right click on a shift and choose Full Edit to view or update pricing and Safety Check
information.
Pricing
Your access level may prevent you from seeing pricing details.
If customer pricing is not calculated (or not calculated correctly), check that the
Customer Rate (accounts tab) is set to Hourly and that a valid rate has been selected.
If Service Provider pricing is not calculated
- If there is a single Provider for the job, check the Contractor Rate in the Accounts
tab.
- If there are multiple providers, right click on a shift for each provider, and choose Full
Edit

- Click the $ sign to the right of the provider's name.
